Event Notifications

Overview

Event Notifications is a powerful new feature that enables organisations to send targeted push and email notifications to their staff attending company events. This feature transforms static event management into an interactive communication channel, allowing event organisers and marketing teams to engage with their colleagues before, during, and after internal company events.

The system automatically sends notifications to all registered staff members (attendees) via both mobile push notifications and email, ensuring maximum reach and engagement across your organisation. Notifications can be scheduled in advance and managed through an intuitive interface with real-time delivery tracking.

Notifications are only sent to Profyles with an active subscription, even if they are marked as an event attendee.

Creating an Event Notification

Event notifications will be sent to all attendees that are configured for the event.  Note that if the Event attendees are changed before the send time of the notification, then the recipients of the notification may be different to those displayed when creating the notification.

  1. Navigate to Your Event
    – Go to the Events section in your Profyle Card portal
    – Select the internal company event you want to send notifications for
  2. Access Notification Management
    – On the event details page, look for the “Notifications” section or icon
    – Click “Create New Notification” or the notification management button
  3. Configure Your Notification
    – Title: Enter a clear, concise title (keep under 26 characters for best display in mobile notifications)
    – Message: Write your notification message (under 170 characters recommended for mobile)
    – Send Time: Select when the notification should be sent using the date/time picker
    – The system defaults to the event start time or 1 hour from now if the event start time has already passed
    – The send time must be in the future
  4. Review and Schedule
    – Double-check your message content and timing
    – Click “Schedule Notification” to save
    – The notification will be automatically sent to all staff members registered for the
    event at the specified time

Tips

  • Short, action-orientated titles work best for mobile notifications
  • Include specific details like time, location, or company objectives in the message
  • Schedule notifications strategically (e.g., 24 hours before, 2 hours before, or day-of reminders)

Cancelling a Notification

When You Can Cancel

  • Only notifications with “Pending” status can be cancelled
  • Once a notification is “Sent”, “Sending”, or has an “Error” status, it cannot be cancelled

How to Cancel

  1. Access the Notification
    – Navigate to your event’s notification list
    – Click on the specific notification you want to cancel
  2. Cancel the Notification
    – On the notification details page, look for the “Cancel Notification” button (red button with cancel icon)
    – Click the button to initiate cancellation
  3. Confirm Cancellation
    – A confirmation dialogue will appear asking: “Are you sure you want to cancel this notification? This action cannot be undone.”
    – Click “OK” to confirm or “Cancel” to keep the notification scheduled
  4. Confirmation
    – Upon successful cancellation, you’ll see a success message
    – The notification status will change to “Cancelled”
    – The notification will no longer be sent to staff members

Important Notes

  • Cancellation is permanent and cannot be undone
    – You’ll need to create a new notification if you change your mind
    – Only pending notifications show the cancel button

Notification Status Indicators

The system tracks five different notification statuses:

🟡 Pending: Notification is scheduled but not yet sent
🔵 Sending: Notification is currently being processed and sent
🟢 Sent: Notification has been successfully delivered
🔴 Cancelled: Notification was cancelled before sending
🔴 Error: An error occurred during the sending process

How to View Status

  1. From the Event Page
    – Go to your event details
    – Scroll to the “Notifications” section
    – All notifications for the event are listed with their current status
  2. Detailed Notification View
    – Click on any notification to view full details
    – The notification details page shows:
    – Current status with colour-coded status pill
    – Notification title and message content
    – Scheduled send time
    – Creation and modification metadata
  3. Delivery Status Tracking
    – On the detailed notification page, expand the “Delivery status” section
    – View a comprehensive table showing:
    – Email addresses of all staff recipients
    – Timestamp when the notification was sent to each team member
    – Delivery status for both push notifications and emails
    – Success indicators with green “PUSH” and “EMAIL” badges

Understanding Delivery Reports

  • Each attendee receives an email and a push notification (if they have their toolkit added to their phone and have opted into push notifications)
  • The delivery table shows individual success/failure for each delivery method
  • Green badges indicate successful delivery
  • Grey badges indicate delivery attempts that weren’t successful or weren’t sent.
  • If no notifications have been sent yet, you’ll see “No notifications have been sent”
